1. Start with how the piano will be used
Is it for a ceremony, cocktail hour or reception performance? Ask your pianist what they need from the instrument and sound setup. A piano chosen for a quiet ceremony may have different placement and amplification requirements from one used with a band.
2. Measure more than the piano
A 5′3″ baby grand is shorter than a 5′7″ classic grand, but length alone will not confirm the fit. Request the exact width and allow space for the bench, performer and circulation. An upright may offer a different arrangement in an intimate room.
The delivery route matters too. Send doorway, hallway and elevator measurements, and identify stairs or stage placement before booking.
3. Choose a finish, then confirm the actual instrument
Use your venue and design references to choose the look. Ask which piano and finish are available on your date, and request a current photograph if the appearance is important. A general category photo should not replace confirmation of your reservation.
4. Coordinate with the venue and musicians
Agree on delivery access, piano placement, tuning time and pickup before finalizing the schedule. Ask the venue about loading dock hours and required paperwork. If ceremony and reception spaces differ, discuss any move with the rental team in advance.
5. Compare complete quotes
Confirm the rental dates, delivery, pickup, bench and acoustic tuning in writing. Ask about stairs, stage placement, distance and timing charges. Your final total should reflect your venue and schedule rather than only the starting price.
